About WGU Academy

WGU Academy is a recently established division of Western Governors University that exists outside the main operations of the university in order to dramatically impact college readiness efforts on a large scale. Its primary mission is to develop and deliver new solutions for college and career readiness to tens of thousands, even hundreds of thousands, of individuals who otherwise would not be prepared for regular enrollment at WGU or at other institutions. WGU Academy offers college-level courses that will support students by promoting a high level of confidence, study habits, and communications skills to be successful while at the Academy and throughout their future studies. In addition to supporting WGU, the Academy will also work with numerous external institutions, foundations, and states.

About the position:

The Project Manager for Academy Business Operations will have responsibility in areas of project and change management. At the Academy, this individual will organize, stay informed about, and report on projects within assigned team(s), lead and train on change management, ensure best practices are used across all functional teams, and mentor and develop other project managers. This individual will manage projects from inception through completion, ensuring scheduling is done and tasks are being completed accurately and in a timely manner. This role is the subject matter expert in change management and promotes, teaches and ensures change readiness efforts.

The Project Manager monitors and reports project status – including risks, issues affecting project schedules, and milestone achievements to stakeholders and business unit leadership. This individual ensures projects meet business unit requirements, standards, policies, and deadlines. The Project Manager is expected to keep fully informed of organizational and organizational strategies and priorities and effectively influence the work of project team members in line with those priorities. In addition to project and change management duties, this individual will support the monitoring and updating of the Academy Business Operations roadmap.

What you’ll be doing:

  • Responsible for full project life cycle ownership to include successful project delivery will include full implementation (i.e., initiating, planning, executing, monitoring/controlling, and closing).
  • Gathers and prioritizes requirements. Manages and refines product backlogs. Writes epics, user stories, and acceptance criteria.
  • Works with stakeholders to manage and prioritize stories for development teams.
  • Keeps project management records and systems accurate and up to date.
  • Serves as a mentor to The Academy staff and leadership in aspects of project management to include leadership, methodologies, tools, and people/project change efforts.
  • Evaluates the readiness of a project team or organization and recommends the related training required to ensure the effective application of project management and leadership principles.
  • Conducts concerted and ad-hoc training to ensure successful planning, execution, delivery and support of projects.
  • Designs and continuously improves team’s agile development approach, maximizing team’s ability to execute while minimizing administration/overhead; serves as team agile coach.
  • Develops realistic project plans and schedules by analyzing organizational process assets, enterprise environmental factors, task dependencies, resource requirements, work breakdown, and organizational strategy and priorities.
  • Provides status reporting including, but not limited to project milestones, deliverables, dependencies, risks and issues, communicating these across business unit leadership and stakeholders.
  • Develops and leads all aspects of project engagement from planning, internal and external relationships, communications, resources, budget, changes, risks and issues.
  • Understands the business needs and strategic priorities for each project and makes on-going decisions based on what’s best for the organization through influencing senior stakeholders and challenging the status quo on critical success factors..
  • Ensures projects are aligned to and directly support strategic objectives, and delegates specified project tasks and responsibilities to appropriate personnel.
  • Ensures projects meet organizational standards and are managed in accordance with applicable policies, processes, and procedures.
  • Documents project deliverables, outputs, and notes that capture why and when key project decisions were made.
  • Performs project reviews to assess the health of a project or lead a small team in doing so.
  • This role leads the development or refinement of project and change management procedures and processes for the purpose of improving efficiency and ensuring best practices.
  • Provides continuous support for strategic roadmaps as they pertain to projects.

What you’ll need:

  • Advanced project management skills and abilities; knowledge and understanding of Agile methodology is preferred
  • Intermediate to advanced change management skills and knowledge of and best practices; knowledge and understanding of ADKAR principles is preferred or deep understanding of other well known change management practices
  • Strong written and oral communication, diplomatic and motivational skills, including the ability to lead across multiple business units
  • Digital literacy and technical competence with various software programs, including but not limited to JIRA, SmartSheet, Lucid Chart, and Microsoft Office, and Microsoft Projects

Qualifications

Minimum Qualifications:

  • Bachelor’s degree
  • 3+ years professional experience as the assigned project manager of executive-sponsored projects, with sole responsibility for project initiation, planning, execution, monitoring, and closure
  • Experience with Agile project management principles.

Preferred Qualifications:

  • Master’s degree
  • Experience in higher education and agile project management preferred
  • Project Management Professional (PMP) Certification or Scrum Certification
