Reporting to the Executive and Board Relations Officer, the Dallas Opera Volunteer & Event Coordinator will serve as the liaison to multiple volunteer and support groups and support all aspects impacting volunteer efforts across the organization. The Volunteer Coordinator is responsible for recruiting and onboarding new volunteers, retaining existing volunteers, and managing volunteer and auxiliary data. This position also plays a key role in the execution of all Dallas Opera donor events. The Volunteer & Event Coordinator interacts with a wide range of individuals from high-net-worth donors, Board members, outside vendors, and colleagues across all departments.

Auxiliary Organizations

• Serve as staff liaison to The Dallas Opera Guild and The Dallas Opera Women’s Board, cultivating relationships with leadership and members, and serving as central communications point between the organizations, Dallas Opera leadership, and the AT&T Performing Arts Center.

• Collaborate with Donor Engagement Officer in developing and implementing a young professional’s program, including recruitment, event planning, and general program management.

• Maintain budgets and track fundraising revenue and annual expenses, providing regular reports to auxiliary and company leadership, coordinate invoice processing and volunteer expense reimbursement

• Provide event support including venue booking, confirming speakers and talent, timelines, and communications.

• Coordinate updates to organizations’ pages on Dallas Opera website.

• Track membership in Tessitura.

• Support Guild boutique by tracking inventory, ordering items, managing sales reports, coordinating space, and set up with front-of-house management, and storage.

• Attend organization meetings as a representative of and to provide updates on behalf of the company.

• Coordinate printed materials including invitations, programs, and membership materials.

• Serve as project/event manager for the Guild’s signature project The Dallas Opera Vocal Competition, coordinating effectively with Artistic staff and Guild volunteers.

• Other duties as needed.

Volunteer Management

• Oversee TDO’s volunteer program, including the recruitment, training, scheduling and communications with all current and potential TDO volunteers.

• Manage volunteer policies, procedures, and standards of volunteer service.

• Develop beneficial partnerships with volunteers, volunteer groups, and corporate partners.

• Manage all volunteer communications

• Maintain The Dallas Opera volunteer database.

Collaborate with all departments, particularly Development, Education, and Marketing, to coordinate volunteer staffing for their needs.

Event Coordination

• Responsible for the preparation, setup, staffing and execution of the Inner Circle intermission lounges associated with each performance and other donor events, as needed

• Collaborate with department leadership to create appropriate invitation lists for all Development events including fundraisers and donor stewardship and benefit events

• Maintain event related data in Tessitura including RSVPs, lists, reports, and event related contributions and

acknowledgement letters

• Coordinate the preparation and completion of event related printed materials including invitations, host letters,

event signage, menus, place cards, etc.

• Recruit, train, coordinate, and steward day-of event volunteers for Development events

• Draft and execute event and RSVP reminder communications

• Manage invoice processing for event related expenses including catering, rentals, entertainment, etc.

• Attend weekly Development Department staff meetings

Skills and Knowledge

• Positive, energetic, and possesses the ability to communicate effectively with a diverse group of people

including volunteers, patrons, donors, and colleagues

• Creative collaborator with customer service mindset, collaborative spirit, and proven ability to build productive

working relationships internally and externally

• Superb writing and editing skills

• 2 years of project and/or event management experience

• Ability to manage competing priorities and strong critical thinking skills

• Knowledge of the art form and an understanding of, or willingness to learn about, the Texas performing arts and

media landscape

• Proficiency in Microsoft Office products (Word, Excel, PowerPoint), and collaborating in a Microsoft 365


• Knowledge of Tessitura preferred
