The Accounting and Administration Specialist will provide professional accounting and administrative support to the Accounts Payable Manager and Senior Manager of Administration and Compliance by performing all duties as requested to facilitate the accomplishment of the organizations goals. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Accounting and Administration Specialist must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

JOB RESPONSIBILITIES:

Accounts Payable/Accounting (75%)

  • Manage the process for employee expense reimbursements in accordance with company policies.
  • Monitor and work the Accounts Payable inbox for new vendor bills and payment requests. Request additional documentation and approval if needed and move finalized bills with supporting documentation and approval to the appropriate folder.
  • Process account deposits for cash receipts at various banks.
  • This position may be the eventual backup for the AP Manager for check runs and entering bills in accounting software.
  • Cross training within the finance team as assigned.

Administration (25%)

  • Handles administrative projects as assigned and overflow work from CICP Administration function. This includes, but is not limited to preparing mailings, word processing, data entry and internet research tasks.
  • Occasionally draft and review contracts and agreements.
  • File documents and develop or modify filing practices, including use of electronic rather than paper records (grants, paid invoices, C-Corp files, contracts, etc.).

MINIMUM QUALIFICATIONS

  • Minimum 2+ years of experience in accounting or an Associates/Bachelors Degree in Business Administration, Public Administration, Accounting, or a related field.
  • Experience in compliance or grants, preferred.
  • Superior planning, organizational, time management and record-keeping skills with attention to and memory for details.
  • Excellent oral and written communication skills to include grammar, punctuation and spelling.
  • Extensive experience with MS Office suite.
  • Excellent project management skills.
  • Exceptional customer service skills.
  • Proven ability to handle confidential information with discretion.
  • A detail-oriented self-starter who can be given a need or objective, break it down into executable pieces, identify questions that need to be asked, gather priorities and requirements, set and manage to milestones and then execute very effectively.
  • Ability to work independently in both an office setting and a remote setting.
