SECRETARY – AUDIT DEPARTMENT

ST ALBANS

A dynamic UK firm of auditors and accountants are seeking a Secretary to join their team in lovely St Albans!

Delivering secretarial support to Partners and Managers at the St Albans office, the successful candidate will support approx. 30 people in the audit department, within a wider secretarial team of 3. This role will suit a super organised and experienced Secretary, who is pro-active, a strong team player and able to work to their own initiative.

As Secretary in the audit department, your responsibilities will include:

  • Diary Management for the Partners and meeting room bookings
  • Preparing and formatting proposals/presentations
  • Client creation/anti-Money Laundering procedures – for example: preparing of Letters of Engagement, forms 64-8, client set-up forms etc
  • Preparing first draft letters and other documents including minutes of meetings for approval/ amendment by Partners
  • Scanning and filing client records/files, archiving
  • Opening and distributing morning post, franking of evening post
  • Paying in cheques
  • Updating CRM database with contracts
  • Relaying messages via e-mail
  • Organising courier bookings
  • Inputting Partner’s expenses on a monthly basis
  • Processing invoices
  • Team Support/Administration for tax returns process
  • Assisting with client breakfasts and lunches
  • Arrange client meetingsefreshmentsooms etc
  • Maintaining spreadsheets for the franking machine, banking, petty cash, cashbook and office Fob
  • As part of the Secretarial team, additional support to other teams maybe required
  • Managing the Reception duties (managed on a rota)
  • Ad-hoc administrative work on accounting and/or tax software maybe required occasionally

Skills & experience required:

  • MS Office packages including Word, Excel, Outlook and PowerPoint – advanced knowledge
  • Educated, with a minimum Grade B in English at GCSE.
  • Minimum of 50 wpm typing speed.
  • Familiar with typing and formatting reports – including tables and spreadsheets
  • Great communication skills – written and verbal
  • Effective organisational skills and ability to manage own workload
  • Flexible and adaptable approach to work
  • Pro-active and ability to work on own initiative
  • A professional services background – experience working in an audit department is desirable but not essential
