Location Overview: Manchester
The Freshfields Global Centre provides both business and legal services to the firm. Our services are delivered in a way which supports the global nature of our firm and our clients, enables our fee earners to deliver exceptional service to our clients and to do that in a way which is efficient and effective.
Function Overview
Responsible business (sometimes known as CSR, citizenship or sustainability) and pro bono lie at the heart of the firm and its strategy for success. Our responsible business strategy focuses on (i) the way we work (ii) how we engage with clients around RB and (iii) how we make a positive difference to the communities in which we live and work.
Working under the framework of our broader responsible business strategy, the aim of our global pro bono team is to maximise the impact of the firm’s pro bono practice on access to justice and access to opportunity. We do this in a variety of ways, including by developing deep relationships with our ongoing pro bono clients, by vetting and proactively developing impactful mandates for our lawyers to work on, by ensuring pro bono is fully integrated within the firm’s legal practice/ systems and by ensuring that the firm’s internal and external communications about pro bono are effective.
Role summary/purpose of job
The Pro Bono Executive supports and works closely with the other members of the global pro bono team (based currently in London and Frankfurt) on many aspects of the firm’s leading pro bono practice. The Pro Bono Executive reports to the senior pro bono manager (who is based in London).
Key responsibilities and deliverables
Programme delivery
• Co-ordinating UK pro bono legal clinics, including:
a) relationship management with the clinics;
b) organising training events;
c) co-ordinating rotas of lawyers and procedures for follow-up work;
d) liaising with the firm’s commercial clients in clinics where we collaborate with in-house teams;
e) continual systems improvement including anticipating issues, suggesting potential solutions, annual review meetings; and
f) presenting quarterly clinic review to the wider pro bono team.
• Co-ordinating and supporting pro bono volunteer engagement;
• Support to scope and research client/client needs in priority areas or for relevant business development meetings;
• Ad hoc research on existing and potential legal pro bono mandates/projects as required by the needs of the global pro bono team.
Data management
• Managing data entry for individual projects by collecting and collating impact information and feedback;
• Managing the global pro bono communications process, including:
a) tracking matters to ensure timely communications are produced and putting together first drafts of internal articles;
b) liaising with the digital communications team;
c) keeping the pro bono Sharepoint updated; and
d) producing the quarterly global pro bono bulletin;
• Collecting data and preparing submissions for firmwide reporting;
• Support with commercial client outreach such as collating and drafting information for pitches and awards submissions;
• Interrogating internal and external databases to provide reports and data for the pro bono team, including client reports;
• Assisting with the on-boarding of new pro bono matters, ensuring relevant checks are carried out with the firm’s Legal Department and ensuring inactive matters are closed;
• Supporting client relationship management, including assisting with the drafting of briefing notes for relationship partners, pro bono client relationship reports, liaising with clients on events, assisting with co-ordination of commercial client collaborations and tracking and reporting client activity to the marketing and business development team;
• Responding to telephone and email enquiries; managing the enquiry from initial contact to closure and ensuring a high level of client service. Managing systems to collate answers to FAQs.
Knowledge and Expertise management
• Supporting with knowledge management tasks relating to pro bono matters as required including ensuring the pro bono Sharepoint is up to date;
• Contributing to pro bono blog posts and assisting with pro bono event management as required.
Key Requirements
• Excellent organisational skills;
• Self-motivated and able to work independently on multiple projects at the same time;
• Strong attention to detail;
• A real team player with excellent people skills who is able to engage and influence both internal and external stakeholders;
• Excellent verbal and written communication skills;
• Shows integrity and is able to maintain client confidentiality;
• High level of PC/database skills, including MS Office;
• Interested in one or more aspects of our pro bono practice;
• Occasional travel may be required to the London office.
Desirable
• Law degree/law conversion course or similar qualification;
• Previous experience of working in a commercial law firm, or of co-ordinating pro bono clinics/projects;
• Project management or process improvement qualification.
