Events Manager

Location: Home-based/Field Based for Division 3 which covers the East of England, East Midlands, West Midlands, and also includes the counties of Bedfordshire, Buckinghamshire & Oxfordshire. Candidates must live within 20 miles of Division 3 due to business need.

Salary: £24-000 – £26,000 per annum plus company car or car allowance worth £4,500 per annum dependent on mileage.

(Car allowances are not viewed as a benefit or as any part of remuneration. Employees who receive a car allowance must provide a suitable car for business purposes, and is based on the criteria of a minimum business mileage of 5,000 per annum).

Contract length: 12 Months Fixed Term Contract

Minimum working pattern: Full-time, 35 hours per week

Our hard-working events teams work across the country to deliver large scale outdoor events within their geographical areas. These include Race for Life, Shine Night Walk, and Pretty Muddy amongst others. This is an integral part of our fundraising, last year bringing in over 13 Million for the charity.

We’re looking for smart, brave and ambitious event planning gurus to manage and deliver an exceptional supporter experience and maximise income.

What are some of the things I will be doing?

  • Plan, organise and deliver an agreed number of complex and large-scale events (including Race for Life, Shine Night Walk, Pretty Muddy) ensuring participants have a positively memorable, enjoyable and safe event experience
  • Manage, plan and deliver a range of smaller, bespoke events, providing an exceptional experience for attendees, from a range of audiences which include CRUK supporters, legal professionals and the general public, to enable the acquisition and cultivation of supporters to increase the volume and value of support for CRUK
  • Negotiate event dates, prices and venue contracts in a timely manner to achieve best value, and the best terms and conditions for Cancer Research UK and ensure that those terms are met on event day
  • Undertake venue research as required. Arrange and attend site visits to assess suitability of venues for the intended audience and event type, including mass-participation outdoor events and smaller indoor events to ensure each event is delivered to best practice health and safety guidelines
  • Produce detailed planning documentation, and accurate event budgets within set deadlines to keep within budget, keep a record of event documentation and manage risk
  • Build knowledge of and relationships with key internal and external stakeholders and influencers in the communities where events are held (volunteers, suppliers and councils etc) and represent Cancer Research UK within the region to ensure a supporter-centric approach to event delivery, driving supporter experience
  • Diligently manage local and national suppliers for each event, negotiating to ensure quality of service whilst keeping costs to a minimum
  • Supervise seasonal casual paid-for staff on event day to monitor performance and ensure casual staff deliver in accordance with data compliance, Health and Safety and other guidelines to contribute towards the on-the day experience and the safety of event attendees
  • Support members of the divisional and national team – taking on the above responsibilities for additional events when necessary (especially in a contingency situation)
  • Be the first point of contact for any issues relating to the welfare of our participants or spectators at events, which may include looking after lost children or vulnerable adults, upholding high standards of safeguarding controls and following protocol

  • Undertake other tasks as necessary to contribute to the Events team objectives and those of Cancer Research UK

What are some of the skills and experience we are looking for…

  • Experience of event planning, management and delivery – preferably mass participation events e.g., over 1000 people.
  • A track record of successful event delivery, with a focus on exceptional attendee experience
  • A working knowledge of IT systems including purchase order systems, databases, Microsoft office is desirable
  • Experience of managing budgets and monitoring and reporting on expenditure
  • Experience in evaluating events and projects and implementing improvements
  • Working knowledge of health and safety guidelines and practices for events
  • Full clean driving licence and confident to drive a long wheelbase van
  • Requirement for physical activity and heavy lifting, with support where possible, when delivering events
  • Strong organisational skills with the ability to prioritise effectively, work efficiently and juggle competing priorities
  • A proven problem solver who can assess a situation quickly and make decisions, escalating when necessary
  • Excellent communication skills – verbal, non-verbal and written
  • Excellent relationship, negotiating and influencing skills
  • A strong self-awareness that allows you to play to your strengths and manage your development areas

Flexibility:

  • Extensive travel required for visiting stakeholders, suppliers, event locations and for delivery of the event. This may require working unsociable hours and overnight stays where required.

You could be working for a smaller charity looking for the opportunity to work on larger-scale events or an experienced events coordinator looking to gain further experience or expertise in managing outside events in a cause-driven environment. You could have worked on projects within your business where you have had to liaise with multiple stakeholders or oversee large groups of volunteers/contractors/staff members. N.B. You must hold a full clean UK driving Licence, live within the Division, and be flexible and willing to travel when necessary.

(This role is known internally as Area Events Manager).
