We are seeking a highly motivated Library Assistant to support the firmwide Library Services team. Under the supervision of the firm’s Library managers, the Library Assistant provides clerical and administrative support to the Library Managers and Research Librarians. This is a full-time, non-exempt position with excellent benefits and is resident in any of the firm’s Texas offices.

Essential Duties and Responsibilities:

  • Generates and maintains credentials for general research platforms, including Westlaw, Lexis, Bloomberg and VitalLaw, and numerous practice-specific research services for all new lawyers, legal support staff members and other researchers.
  • Assists in arranging training on research platforms for all new lawyers, legal support staff members and other researchers.
  • Supports the onboarding process for the firm’s summer and fall associate classes, including maintaining the details for all training sessions, setting up the training sessions in the firm’s learning management system, and preparing welcome communications to the new summer and fall associates.
  • Maintains electronic routing lists for various publications.
  • Publishes Library information and content on the firm’s intranet.
  • Prepares check requests for payment of vendor invoices, including reconciling voluminous transactional charges for activities such as court e-filings, Secretary of State filings, docket tracks and personal/public information research.
  • Liaises with Financial Services regarding soft cost downloads from research vendors such as Westlaw, Lexis, and PACER, and assists in troubleshooting issues with vendor soft cost data.
  • Processes unreconciled soft cost charges for Library research services.
  • Provides assistance with research and reports in support of the budgeting and reforecasting process.
  • Maintains library vendor contact information in the Firm’s CRM database.
  • Corresponds with vendors.
  • Other projects and duties as assigned by members of the firmwide Library Services team.

Qualifications

  • Four-year college degree is strongly preferred; some college required.
  • A minimum of one (1) to two (2) years of experience in a professional business environment and responsible for a variety of administrative support duties that require excellent communication and organizational skills, attention to detail, and advanced computer skills is required.
  • Strong work ethic and ability to maintain strict confidentiality.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to perform detailed work accurately, thoroughly, and consistently.
  • Ability to prioritize work, multi-task, and operate effectively under pressure in a fast-paced environment. Flexibility to adapt to changing priorities is required.
  • Must have strong customer service skills.
  • Must exhibit strong interpersonal skills and be able to maintain effective relationships with departmental colleagues and lawyers and staff across the firm.
  • Must be a reliable self-starter and have a professional demeanor.
  • Must have experience and demonstrable skills using the Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Familiarity with Genie (library catalog), Research Monitor (research usage and password tracking system), Chrome River (check request system), and Interaction (CRM system) preferred.

Extent of Contact (Within and outside the Firm)

This position requires contact with individuals within the firm as follows:

High degree of contact with:

  • Members of the firmwide Library Services team.

Moderate degree of contact with:

  • Lawyers, Paralegals, and Legal Secretaries
  • Members of the firm’s Client Development, IT and KS departments
  • Firm vendors

Physical Demands

  • Must be able to routinely lift and carry file folders and other materials weighing up to 30 pounds.
  • Must be able to lift, squat, kneel, and bend.
  • Must be able to work at a computer for significant periods of time.

Working Conditions and Environment

  • Fully vaccinated for COVID-19, subject to accommodation.
  • This role may be hybrid and will require a minimum of three days per week (or at least 60%) present in the office, and up to two days per week (40%) may be performed remotely.
  • Work is normally performed in a typical interior office work environment little exposure to excessive noise, dust, and temperature.
  • Position is full-time and requires a five-day workweek and standard hours as outlined in the firm policy manual. Work may occasionally require more than the regularly scheduled hours per week to perform the essential duties of the position.
  • Must be able to perform essential duties of the position with time constraints and frequent interruptions.
  • Ability to work well in high pressure environments.
