Provide administrative support to one or more members of AXA IM CORE teams

Key Accountabilities

  • Complex and dynamic diary management across multiple time zones for one or more Senior Managers.
  • Arranging meetings to efficiently maximise use of time, resolve clashes and whilst working closely with Senior Manager/s, be able to use own judgement as to which meetings take priority
  • Organise and arrange all aspects of internal and external offsites as necessary
  • Supporting the logistics of hybrid working – booking rooms, desks, visitors, catering and other adhoc support when Senior Manager/s are in the office
  • Admin support for Core Committee Governance structure – setting up committee meetings, monitoring attendee responses, minute taking, ensuring reminders are reflected in relevant diaries, assist with meeting pack prep
  • Administer the starter/leaver process (regulatory clearance/training/access)
  • Provide IT/Facilities/Office support to COO office and other Senior Manager/s as required
  • Continuously work closely within the London/Paris PA pools and wider PA’s globally
  • Co-ordinate travel and prepare expenses within company policies
  • Keep track of travel and entertainment for the teams and update the budget spend accordingly
  • Build robust working relationships with Senior Managers, internal stakeholders and the wider PA team
  • Provide coverage for other members of the PA team when on holiday and/or when global stakeholders from other offices visit the London office
  • Supporting and working closely with HR/Talent Acquisition on recruitment and interview requests as required
  • Be proactive in following business updates by reading important announcements and attending business update meetings within the department and wider business
  • Abide by and keep within risk and compliance regulation requirements



  • Previous experience in a similar role and within a PA team structure would be beneficial
  • Experience of working with high volume of work and against tight deadlines
  • Demonstrated track record of problem solving
  • Knowledge of hybrid working and meetings with the use of Zoom/MS Teams

  • Able to demonstrate the ability to work both autonomously and collaboratively and adapt to changing priorities in a fast-paced environment.
  • Superior organisational skills – ability to multi-task effectively
  • High level of attention to detail
  • Proven ability to effectively coordinate and facilitate calendars schedules and meetings
  • Ability to record accurately and deliver minutes & correspondence in a timely manner
  • Advanced MS Office skills particularly Outlook, Word, Excel, PowerPoint
  • Excellent verbal and written communication skills


  • Ability to maintain a high level of discretion, demonstrate an understanding of confidentiality issues and maintain professionalism at all times
  • Make timely decisions using independent judgment on a regular basis
  • Accustomed to working under pressure to tight deadlines
  • Excellent interpersonal skills, good listening skills, able to deal with all levels of seniority to include management both internally and externally
  • Team player, self motivated, creative and proactive approach to work
