Job Overview:

The Administrative Assistant will provide pivotal administrative support to alleviate the administrative responsibilities of the President and Chief of Staff. The role involves tasks including calendar management, onboarding and offboarding, data entry, and other administrative duties. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment.

This role reports directly to the Chief of Staff.


Administrative Support:

  • Filing, organizing, scanning and archiving documents.
  • Answering phone calls, directing them to the appropriate person or taking messages.
  • Coordinating and scheduling meetings, appointments, and events.
  • Supporting various departmental projects by completing various tasks.
  • Manage personal tasks and projects in support of both CEO and President’s families.
  • Assist with other ad hoc tasks or projects as needed.

Human Resources Support:

  • Assist with onboarding new hires.
  • Assist with offboarding existing employees.
  • Manage employee birthday and anniversary recognitions.
  • Coordinate gift purchases for special occasions.
  • Project manage company events, team building, volunteer efforts, and celebrations.
  • Engage employees through Slack.
  • Process Company apparel orders.
  • Complete lunch and office supply order requests.

Accounting Support:

  • Assist with data entry of invoices, receipts, and payment details.
  • Assist with other ad hoc tasks or projects as needed by the Accountant.

Required Skills & Qualifications:

  • Bachelor’s degree or equivalent experience.
  • Proven experience in an administrative role.
  • Strong organizational and multitasking abilities.
  • Ability to handle confidential and sensitive information with discretion.
  • Capacity to work under pressure and meet tight deadlines.
  • Strong communication skills.
  • Familiarity with and Slack is a plus, but not essential.

Work Environment

  • Aventis Systems’ Warehouse, as well as Remote Work
